Business travel management. 5 frequently asked questions.

Business travel management. 5 frequently asked questions.

If you are planning to travel with WorkTrips.com, you might have some questions about your flight, train, or hotel booking. In this blog post, we will answer some of the most frequently asked questions during travel by our customers and provide you with some useful tips to make your travel experience smooth and hassle-free.

1. How do I check in for my flight?

Check-in can be done directly on the airline’s website, and usually, you will need the traveler’s Name and the PNR number of the reservation, which you will find on the ticket. The exception is Ryanair reservations, where you need an email address for check-in. If the ticket is purchased by us, the email address is: agent@worktrips.com. There are also bookings made by our partner Kiwi. These booking confirmations look different, and you can find the information that it is from Kiwi. They usually do auto check-ins, and we send ready boarding passes to you around 24 hours before the scheduled departure.

2. Can I exchange my ticket for an earlier connection?

When it comes to flights, exchanging your ticket for an earlier or later date depends on the offer you purchased your ticket in. If the offer allows us to make changes, there is a fee imposed by the airline for changes. If we do not have a flexible offer, exchanging the ticket means buying a new ticket and losing the first one. As for trains, in PKP, there is no problem with exchanging the ticket free of charge, but the exchange must only concern the time or class of travel. We cannot change the route. Foreign trains, similar to flights, depend on the offer.

3. When is online check-in active?

Online check-in is usually active 24 hours before departure, but some airlines allow you to check in earlier. For example, in Wizzair, you can check in as soon as you buy the tickets, up to 30 days before departure. After checking in online, you will receive your boarding pass via email.

4. Are city taxes included in the price?

City taxes are fees that some cities charge to visitors for staying overnight in their hotels. They are usually collected by the hotel staff and paid to the local authorities. When it comes to the payment of the tax, it depends on the facility. Some already include city tax in the booking price, but more often it is not added. Sometimes we have the option to take over the payment of city tax for the guest at the guest’s request, so that there are no additional charges on the spot. If you want us to do that, please let us know when booking your hotel or contact us before your arrival. We will then pay the city tax for you and include it in your invoice.

5. What should I do after sending a request to prepare a manual offer for hotels/flights?

If the request was for a specific flight, it will be uploaded to the online request, and you’ll receive an email notification when it’s ready. Then check if all the details are correct and send it for approval.

However, if you’ve asked for several connections or the inquiry was not precise, you can receive several options via email. After selecting the preferred offer, it will also be uploaded to the system so that it can be sent for approval. It is important to send the inquiry for approval yourself to check the correctness of the other data in the inquiry, especially data on the documents with which you’ll be traveling.
