In short, reserving a seat on a train can actually mean three different things: automatic seat assignment, saved preferences, such as "window," or manually selecting a seat from the carriage plan. Which option you see depends primarily on the carrier, the train, and the sales channel. Today, we'll take a closer look at the practicalities of reserving a seat in the context of business travel.

Reserving a seat on a train in practice

A seat reservation assigns a passenger a seat on a specific train, on a specific section, and, of course, in a specific class. The colloquial term "seat reservation" refers to the reservation document or part of the ticket with the carriage number and seat. When traveling by train in Poland, you can reserve a seat or a specific seat in a carriage. What's the difference? We've explained it clearly in the table below.

ComparisonReservation of placeChoosing a specific place
What do you get?Ensure your ticket has a seat assigned to itThe right to a designated seat if the sales channel offers such a choice
Seat numberIt is given by the systemThe passenger selects it on the carriage plan or gives its number
Window or passageMay be a preference without guarantee of a specific numberIt results from the position in the seat system
CarIt is usually assigned by the systemIt can be indicated if the plan includes several wagons
AvailabilityDepends on the free pool and carrier's rulesIt also depends on the functions of a given website or application.

In the context of business travel (and the possibility of working during the journey), it's worth emphasizing that the "window seat" message can only be a request transmitted to the system. Only the number visible on the carriage plan allows you to consciously select a seat. Even then, the carrier may change the train composition for technical reasons, so the carriage number or seating arrangement may not always remain the same until departure.

Do you need to have a reserved seat on the train?

Not every time. The requirement depends on the carrier and, of course, on the specific rail connection. Please check the reservation reference in the search results and read the terms and conditions of your chosen ticket before purchasing. On PKP Intercity trains with mandatory reservations, the carrier does not sell tickets without a guaranteed seat. The Office of Rail Transport (Urząd Transportu Kolejowego) indicates that this applies to EIP trains and selected IC trains. Regional traffic operates differently. According to POLREGIO regulations, this carrier's trains are generally not subject to seat reservations. Passengers occupy an available seat. Exceptions may occur in special offers or with other regional carriers. For example, ŁKA Sprinter trains, for which Łódzka Kolej Aglomeracyjna (Łódź Commuter Railway) offers seat reservations. In fact, the markings and rules may change with the schedule or offer. Therefore, information from the ticket and the current sales system take precedence over the general rule remembered from a previous journey.

PKP Intercity trains – how to book a ticket?

PKP Intercity trains operate in several categories, including TLK, InterCity, Express InterCity, and Express InterCity Premium. These are PKP's long-distance trains, but the category name alone isn't sufficient to determine seat assignment. Search results show PKP Intercity trains with a specific route designation, which must be identified in the travel booking system. On Express InterCity and Pendolino trains, the number of seats, class division, and available zones are determined by the specific train schedule. Passengers colloquially use the Pendolino name for the EIP category, but from a purchasing perspective, the mandatory reservation information is crucial. On Express InterCity and EIP trains, please check the conditions indicated for your chosen connection.

The reservation system combines the carrier's offer with the current seat pool. If seats are available, it can assign a seat number automatically or open a seat selection process. When all guaranteed seats have been sold, the reservation system can offer another train or, where regulations allow, a ticket without a seat guarantee. PKP Intercity tickets can therefore include a seat number, even if the passenger did not select it themselves. Only graphical seat reservations allow for seat selection from a map. If a map is unavailable, the reservation system can accept the preference or automatically assign a seat. A second PKP Intercity ticket purchased in a separate transaction does not necessarily result in a seat next to the first.

What is the full reservation system?

Simply put, a full reservation system means that a passenger must be assigned a specific seat. Full reservation limits sales to the number of seats available on a given section. However, it doesn't mean that all seats will be occupied for the entire journey, as passengers board and disembark at different stations. The guaranteed seat is valid for the section indicated in the reservation, not necessarily for the entire train route.

The introduction of mandatory reservations changes the purchasing process: a valid ticket must be linked to an available seat. If a carrier introduces mandatory reservations, they should indicate this requirement in the timetable and ticketing system. The scope of the mandatory seat reservation requirement may apply to a specific category, train type, or connection. Mandatory seat reservations, therefore, do not necessarily apply to the carrier's entire network.

How to book a train seat step by step on worktrips.com?

  • Enter the departure and arrival point, date, and specify whether you are traveling alone or with someone (on worktrips.com you can add an active traveler to your trip, i.e. one who also has an account on the platform, or a passive traveler, i.e. one who does not have an account).
  • Select your travel class and whether you want to see all connections or only those without transfers.
  • Select your connection and read the reservation information. The mandatory reservation symbol indicates that you need an assigned seat for this journey.
  • If a carriage map appears, select an available seat. Check the legend, as similar symbols may indicate a table, a quiet zone, a space for a person with limited mobility, or a bicycle space.
  • Before your trip is submitted and approved by your supervisor, you'll receive a booking confirmation. Your ticket is saved in the system and can be downloaded, for example, to your phone.
  • If your journey includes several sections, make sure you have a document and a possible seat reservation for each train.

On PKP Intercity channels, seat reservations can be purchased with a ticket or downloaded to selected existing tickets. Details are provided in the current e-IC regulations. A document purchased, for example, on worktrips.com can be exchanged or returned to the same agent, which is also important for corporate bookings.

Can I choose a specific seat on the train?

Yes, but not on every train and not in every sales channel. There are three possible options: the system assigns a seat automatically, accepts your preference, or opens a graphical map of the carriage. The lack of a map doesn't mean no reservation, as you can receive a seat number without selecting it yourself.

Window seat, aisle seat, or table seat. What to choose on a business trip?

The right seat depends on what you plan to do on the road. For a two-hour workday, a stable desk and access to power may be more important. For a short trip with a large suitcase, it's often more comfortable to sit closer to the door.

PlaceWhen does it work? What to check before buying?
By the windowRest, view, possibility to lean onYou have to ask your fellow passenger to let you through; not every "window" falls out when the window is full
At the crossingGetting up frequently, short journey, easier exitMore movement next to the chair and less privacy
At the tableWorking on a laptop, talking in a small groupThe common table is sometimes occupied by several people; the seats opposite are closer
Silence zoneReading, work requiring concentration, restTelephone calls and loud online meetings do not fit the rules of this zone

For many people, the direction of travel is important. Seat numbering doesn't guarantee that the seat will face forward. The train may be reversed or arranged differently. If this feature is important, look for it in the legend of the current plan and make allowances for changes in rolling stock.

How do I book seats next to each other?

The best chance is to make a single purchase for all passengers. The system can then assign adjacent seats. If a carriage plan is available, select seats manually and compare the numbers before paying. Purchasing multiple tickets separately certainly weakens this mechanism. For larger groups, group travel is also possible, as organized by a team of experienced WorkTrips agents.

Book your business trip at worktrips.com

Reserving train seats doesn't always allow you to click on any seat. Sometimes the system assigns a number, sometimes the passenger simply selects a window or aisle, and some channels display a full carriage plan. Therefore, before purchasing, it's important to check the train's regulations and the details visible in the summary. For additional travel planning needs, travelers can benefit from the support of WorkTrips travel agents, who can help explore available booking options. Importantly, a train journey can be part of an entire business trip organized in a single environment. The worktrips.com platform allows you to book travel-related services, including train tickets for companies, and links reservations to your company's travel policy, approvals, and all documents. Frequently asked questions about booking a seat on a train

Can I buy just a seat reservation?

Yes, in selected situations. PKP Intercity allows you to purchase or download reservations for certain existing tickets, including season tickets, and selected international tickets. A seat reservation alone does not replace a ticket if the terms of the offer require both documents.

Can I choose a window seat on the train?

You can usually indicate this preference if the system allows it. This doesn't always mean choosing a specific number or having a full window next to your seat. A graphical map of the carriage provides the most information.

Can two people get seats next to each other?

Yes, if available space allows. It's best to purchase both tickets in one transaction or select two adjacent seats on the plan. Separate purchases don't offer the same chance of a shared arrangement.

What should I do if there is no seat number on my ticket?

Check whether the train runs without a reservation or whether the ticket was issued without a guaranteed seat. It's also possible that you need to obtain a separate seat reservation for your ticket. If a reservation is required, explain the missing seat number before boarding the train.

Can I change my seat reservation?

This depends on the carrier, tariff, and purchase channel. At PKP Intercity, changes to a domestic travel document purchased online are made by exchanging it within the specified timeframe. Tickets purchased through an agent must be processed by the same agent.

How much can it cost to reserve a place?

The cost of a seat reservation depends on the carrier, connection, class, and ticket type. A seat reservation may be included in the price, free with your travel document, or paid separately. Please check the current amount in your purchase summary, as fares and offers may change.

Does the seat number indicate the direction of travel?

It doesn't provide such certainty. The carriage arrangement can change, and the same seat number doesn't always travel in front. If the system shows a direction on the map, treat it as information dependent on the planned train composition.
